The challenge

Clinicians at the network were spending close to a third of their working day on documentation, much of it after hours. Burnout was rising and appointment availability was falling.

Earlier attempts with generic dictation tools had produced notes that still required heavy editing, and the compliance team had understandable concerns about patient data leaving the organisation.

Our approach

  1. 01

    Clinical co-design

We embedded with three clinics for two weeks, shadowing appointments and agreeing a note format with clinicians themselves.

  2. 02

    Private deployment

The assistant runs entirely in the network’s private cloud tenancy, with no data retained by any model provider.

  3. 03

    Rigorous evaluation

A panel of clinicians scored 1,000 drafts against a rubric covering accuracy, completeness and safety before any rollout.

  4. 04

    Staged rollout

Deployment proceeded clinic by clinic, with a feedback button on every draft feeding a weekly improvement cycle.

Results

  • Average documentation time fell by roughly two hours per clinician per day.
  • 94% of drafts were accepted with minor or no edits after three months.
  • After-hours charting dropped sharply, and clinician satisfaction scores improved.
“For the first time in years, our clinicians are finishing their notes before they go home. The team understood that trust had to be earned, and they earned it.”
