This Privacy Policy explains how AIT Solutions Pty Ltd (“AIT Solutions”, “we”, “us”) collects, uses and protects personal information when you visit aitsolutions.au (the “Site”) or contact us. We are committed to handling your information responsibly and transparently.

1. Information we collect

Information you provide. When you complete a contact, quote, support or newsletter form, we collect the details you submit, such as your name, email address, company, job title, phone number and the content of your message.

Information collected automatically. Our web server records standard technical information such as IP address, browser type, pages requested and timestamps for security and troubleshooting. With your consent only, we may also use analytics cookies as described in our Cookie Policy.

Voice input. Our forms offer an optional microphone button so you can speak instead of typing. Your speech is converted to text by your web browser’s built-in speech recognition service (for example, Google in Chrome, Microsoft in Edge or Apple in Safari), which may process the audio on its own servers under that provider’s privacy terms. We do not record or store any audio: only the resulting text you choose to submit reaches us. The microphone is used only while the button is active, and you can always type instead.

2. How we use your information

  • To respond to your enquiries and provide requested information or proposals
  • To deliver and support services under a contract with you or your organisation
  • To send our newsletter, where you have subscribed (you can unsubscribe at any time)
  • To maintain the security and performance of the Site
  • To comply with legal obligations

3. Legal bases for processing

Where data protection laws such as the GDPR apply, we rely on your consent, the performance of a contract, our legitimate interests in operating and promoting our business, and compliance with legal obligations, as appropriate to each purpose.

4. Sharing your information

We do not sell personal information. We share it only with service providers who help us operate our business (for example, web hosting and email), under contracts that require them to protect it, or where required by law.

5. Data retention

We keep enquiry information for as long as necessary to respond and maintain a record of our correspondence, typically no longer than 24 months unless a business relationship results. Newsletter data is kept until you unsubscribe.

6. Security

We use appropriate technical and organisational measures to protect personal information, including encrypted connections (HTTPS) and access controls. No method of transmission over the internet is completely secure, however.

7. Your rights

Depending on where you live, you may have the right to access, correct, delete or restrict the use of your personal information, to object to processing, to data portability and to withdraw consent. To exercise these rights, contact us at hello@aitsolutions.au. You may also have the right to complain to your local data protection authority.

8. International transfers

Where information is transferred across borders, we use appropriate safeguards such as standard contractual clauses.

9. Children

The Site is intended for business audiences and is not directed at children under 16.

10. Changes to this policy

We may update this policy from time to time. The “last updated” date above shows when it was last changed.
